1. Service description

BookAIClinic provides an AI-powered phone receptionist service for dental and pediatric clinics. The service answers inbound phone calls, books appointments into Google Calendar, and sends WhatsApp confirmations and reminders to patients.

2. Eligibility

You must be 18 or older and operate a legitimate dental or pediatric clinic business. You are responsible for ensuring your use of BookAIClinic complies with all applicable laws in your jurisdiction.

3. AI limitations and your responsibility

  • The AI may occasionally make errors, misunderstand callers, or fail to complete a booking.
  • The AI is not a licensed medical professional and provides no medical advice.
  • You must monitor the service and review call logs regularly.
  • You are responsible for verifying all bookings created by the AI before treating patients.

4. HIPAA and patient data

BookAIClinic is not a HIPAA Business Associate in its standard configuration.

In the standard configuration, BookAIClinic stores only: caller name, phone number, email address, appointment date/time, service type, and call duration. We do not store clinical diagnoses, treatment records, insurance information, or other Protected Health Information (PHI).

5. Patient consent

By using BookAIClinic, you represent that patients calling your number have reasonable expectation that calls may be automated, and that your use of WhatsApp messaging complies with applicable telemarketing laws (TCPA in the US, PECR in the UK, CASL in Canada). The AI discloses at the start of each call that the caller is speaking with an AI assistant.

6. Billing

  • Billed monthly at $49/month after a 14-day free trial.
  • If payment fails, the service is suspended after 7 days.
  • Cancellation takes effect at the end of the current billing period.
  • No refunds for partial months except where required by law.

7. Service availability

We target 99.5% uptime but do not guarantee it. Downtime due to third-party provider outages (Twilio, Meta WhatsApp, Google) is outside our control.

8. Limitation of liability

To the maximum extent permitted by law, BookAIClinic's total liability shall not exceed the amount you paid in the three months preceding the claim. We are not liable for indirect, incidental, or consequential damages.

9. Governing law

These Terms are governed by the laws of India. Disputes shall be resolved by binding arbitration under the Indian Arbitration and Conciliation Act.
